Change of Grantee Institution and Equipment Transfers

Grant Transfers out

With the exception of training grants, researchers who decide to leave the University of Florida may be allowed to transfer their research grant to their new institution. Faculty should notify the agency of their relocation plans and request proper forms and instructions to effect the transfer. The documentation must be routed through the Office of Research for endorsement. Due to the wide variation in procedures among sponsors, faculty are encouraged to check with Award Administration with regard to specific guidelines (207 Grinter, 392-5991).

Transferring Equipment Purchased on Grants and Contracts

Active Grants and Contracts that are being relinquished:

Equipment purchased on Federal or Non-Federal grants and contracts that are being relinquished and transferred to the PI’s new Institution would transfer without charge, except for ancillary costs such as dismantling, shipping and handling costs which should be paid for by the new Institution.

Expired Grants and Contracts:

Equipment purchased on Federal or Non-Federal grants that are now expired and equipment is owned by UF can be transferred to the PI’s new Institution with or without payment. This is a dept., college, PI UF Asset Management discussion.

  •  If without charge ancillary costs such as dismantling, shipping and handling costs should be paid for by the new institution.
  •  If selling to the new institution it may involve having the sponsor approve the sale. Please coordinate with UF’s Asset Management and C&G Accounting.

Equipment Purchased from Other Sources

Equipment purchased on other sources normally remain with the University of Florida, unless approved otherwise. This is a dept., college, PI discussion with Asset Management and other parties as appropriate.

  • If without charge ancillary costs such as dismantling, shipping and handling costs which should be paid for by the new institution.
  • If selling to the new institution it may involve additional approvals prior to sale. Please coordinate with UF’s Asset Management and C&G Accounting (if equipment was purchased from a 2XX fund).

Complete the Asset Management Form: Donation Outside the University as Part of a Sponsored Agreement.

Provide a brief narrative why the equipment is being transferred or sold.

Route for approvals.
