Delivering Proposals to DSR for Approval
DSR highly recommends using the UF Express Proposal Page and its electronic workflow functionality. Please check with your department and college to make sure they have the capability to use electronic workflow. The Express Proposal Page in less than 5-minutes allows you to simply attach your proposal and supporting documents and submit. The system will electronically collect PI, Chair, Dean and DSR approvals. DSR will then review and submit the proposal based on instructions provided.

As an email attachment to ufproposals@ufl.edu.
The UF email server attachment size is currently 20 MB. However, UF continues to run many department email servers, where local conditions may vary and may have attachment sizes larger or smaller than 20MB. If your file size is approaching the 20MB limit, you should zip your file first. This will speed delivery and get you under various size limits.

As an attachment to the UF Express Proposal Page.
Another way to take advantage of the UF Express Proposal Page especially if your proposal file size exceeds the email 20MB limit and your area does not use the workflow functionality, is to complete the UF Express Proposal Page (takes less than 5 minutes) and attach your proposal file along with the other required supporting documents (see below). Then notify DSR your proposal is ready by sending an email to ufproposals@ufl.edu with the myUFL Proposal Number identified. DSR can log into myUFL and pull your file, review and submit to the agency.

As an upload to DSR’s File Upload website.
You may upload your proposal and other required documentation to DSR’s File Upload website. An email is generated confirming receipt. DSR’s Proposal Processing Office will contact you if they have any questions prior to submission to the agency.

The old Fashion Way.
Save your proposal file to a CD or Flash Drive and walk it to DSR’s Proposal Processing Office, Room 207, Grinter Hall, with the other required supporting documents (see below).
Other Required Documents

DSR-1 signed by PI, Department, Dean’s Office where electronic workflow is not being used.

Disclosure of Conflict of Interest Form for PHS, NIH, NSF, American Heart and other agencies that have adopted its use.

Subcontractor/Subaward proposal, signed by the subrecipient’s authorized official.

Cost Sharing Documentation for cost sharing that is being offered in the proposal going to the sponsor:
For Mandatory: A copy of the Funding Agencies Guidelines and the written commitment from the individual authorized to commit the resources.
For Voluntary Committed (offered to the sponsor in a proposal): Dean’s written approval.

Agencies Guidelines if indirect costs have been limited or prohibited.

Note: Your department, college or the sponsor may have additional requirements.
